The Emergency Access feature is an optional database enhancement that allows users to "break the glass" and access client records (that they don't typically have access to) in an emergency situation.
Required Permissions
Because the Emergency Access feature is an optional enhancement, it is not automatically available in all databases. When requested, the Help Desk turns it on for you. If turned on, users must have the following permissions to use it:
- Display Any Chart Records Buttons
- Emergency Access
Note: The Emergency Access exception override permission expires 24 hours from the time it is assigned.
Accessing a Client's Record in an Emergency
- Us the Search Client feature to search for the client.
- On the Search Results page, you'll see an Emergency Access column. Click the Emergency Access/Break the Glass icon for the selected client.

- A Break the Glass confirmation window will pop up. In the Reason field, type the reason for the invoking the emergency access. Then click Break the Glass.

- The page will refresh and the client's record will be displayed for access.
Emergency Access FAQs
Q. Are Break the Glass sessions captured in the Audit Trail?
A. Yes. When a user clicks the Break the Glass icon, a record is created in the Audit Trail and all related activity is captured. When a user logs out of the Break the Glass session, that action is also recorded.
Q. Does Emergency Access give users access to programs with the Client Search Record Sharing option set to "No"?
A. Yes. While in the Break the Glass session, you will have full access to ALL programs for the selected client, even if you do not have program chart access to all programs in the client's history. This temporary access includes any "protected" programs set to note share data under System Setup > Agency Program Information > Add/Edit Entire Program. Your program chart access permissions will revert to normal after you log out.
Q. Why can't I navigate to another location in AWARDS while in a Break the Glass session?
A. While in the Break the Glass session, you are prohibited from navigating freely in AWARDS. You must first log out of AWARDS to end the session, and then log back into AWARDS. Once you've done so, your access and permissions will be reinstated as assigned.
Q. Why don't I see the Break the Glass icon when I was recently granted Emergency Access?
A. Keep in mind that this permission expires 24 hours after it is assigned.
