Setting AccuBill User Permissions

To access AccuBill from AWARDS, you’ll need to have the AccuBill permission assigned to you. Once in AccuBill , permissions are role-based. Meaning, roles are created, and specific permissions are attached to the roles. Users are assigned to various roles to give them access to AccuBill features.

This page includes all the information you need to know about setting AccuBill user permissions. 


Permissions Needed 

To manage user permission you need the User Role Management permissions assigned to you.

  • Account Mgmt. > Permissions > ROLE MANAGEMENT

 


Users 

In the Users section you'll find a list of users that have access to AccuBill based on their permissions setup in AWARDS. The users are listed in a table with the following information:

  • Avatar - This is assigned by AccuBill and contains the user's initials
  • First Name
  • Last Name
  • Last Accessed - The date and time the user last accessed AccuBill
  • Last Modified - The date and time the user's permissions were last updated
  • Active User - Indicates if the user is an active user or not. Only Active users can access AccuBill
  • Assigned Roles - Current list of roles assigned to the user giving them permission access to AccuBill features
  • Action
    • Mange Access - The ability to Assign and Remove roles to adjust the user's permissions
    • Change History - Lists all updates to the user's permissions and access

Note: Users are added automatically to the Users list when they first SSO (Single Sign On) into AccuBill from AWARDS.


Managing a User's Access 

A user must have at least one role assigned to them to access and user features in AccuBill. Users can be assigned to multiple roles, if needed. When a user is assigned multiple roles, they will have access and rights to interact with a feature if at least one assigned role contains the permission needed. 

Users can be assigned to roles either within the Users section or the Roles section of the Permissions feature. To manage a user's access in the Users section, click on Manage Access under the Actions column for the user.

Deactivate a User 

To lock a user out of AccuBill, you can deactivate them. Click on the Deactivate User button under the user's name. Once the user's account is deactivated, the button label will change to Activate User. To reactivate the user, simply click the Activate User button.

Role Assignment(s) 

By default, assigned roles are displayed for the user. You can also view unassigned or all roles if desired. Roles are displayed with the following information:

  • The name of the role
  • Date and time the role was last updated
  • A brief description of the role
  • Full details of the role
  • A More Info button to view full details of the role
  • An Unassign or Assign button

Feature Permissions 

Based on the roles that the user assigned, each section can be expanded to see what permissions have been granted to the user and from which role(s).

Template Roles 

Template roles can be used to create roles. These templates include:

  • Admin - provides full access to all features in AccuBill
  • Configuration Wizard - provides full access to all features within the Configuration Mgmt area of AccuBill. This includes Payers, Billing Providers, Procedures, and Service Facility Locations.) 

To create a role using a template role, click the Duplicate button and adjust the role as needed. 

 

Creating a Role From Scratch 

Roles can be created from scratch by clicking on the Create button. When creating a role from scratch, you'll need to complete the following:

General Info

  • Role Name
  • Role Description

Permissions

Expand the sections to select features and permissions for the role. Each section, feature, and permission includes a brief description when you hover over the tooltip. Features and permissions are listed and described below.

Users (Optional)

If desired, you can assign users to the role when you are creating it. Otherwise, users can be assigned to the role at a later time. To assign a user when creating the role, start typing the user's name in the text field provided and a list of users matching your input will be displayed.

 

View, Edit, or Delete Existing Roles 

In the Roles for Assignments section, all roles are listed with the following details:

  • Name - Name of the role
  • Last Modified - The date and time the role was last updated
  • Description - Description of the role
  • More Info - A link to show more information about the permissions associated with the role
  • Users Assigned - Current list of users assigned to the role
  • Actions
    • Duplicate Role - Creates a new role with the same descriptions and permissions, just the name is different
    • Edit Role - Allows you to make updates to the role
    • Change History - Lists all updates made to the role
    • Delete Role - Deleting a role will remove all users from the role

Access to the following features: Permissions, Payers Crosswalk, POS/Note Location Crosswalk, Fiscal Periods, and List Creator

  • Role Management - Gives access to the Permissions feature > Roles section where the user can create new roles and update existing roles
  • User Role Management - Gives access to the Permissions feature > Users section where the user can manage a user's access
External Data Crosswalks

Payers Crosswalk

Access to the Payers Crosswalk feature to link external payers to AccuBill payers

  • Create/Update List Items - Gives access to the Payers Crosswalk feature to create new crosswalk items or update existing crosswalk items
  • Delete List Items - Allows user to delete crosswalk items

 

POS/Note Location Crosswalk

Access to the POS Code/Note Location Crosswalk feature to create agency defined place of service (POS) code mappings to note locations

  • Create/Update List Items - Gives access to the POS/Note Location Crosswalk feature to create new crosswalk items or update existing crosswalk items
  • Delete List Items - Allows user to delete crosswalk items
Fiscal Periods

Access to the Fiscal Periods feature to manage monthly Periods that represent your agency's fiscal year

  • Open/Close - Gives access to the Fiscal Periods feature to open and close fiscal periods individually or in bulk
  • Configuration - Gives access to the Fiscal Periods feature and CONFIGURATIONS button to interact with the settings in the modal
List Creator

Access to the List Creator feature to create agency defined lists for various billing needs

  • Create/Update List Items - Gives access to the List Creator feature to create new list items or update existing list items
  • Delete List Items - Allows user to delete list items
Configuration Management
Access to the following features: Payers, Billing Providers, Procedures, and Service Facility Locations
Payers

Access to the Payers feature to manage entities/health plans that receive claims and issue payments and/or denials

  • Create - Gives access to the Payers feature to create new records
  • Update - Gives access to the Payers feature to update existing payer records
  • Delete - Gives access to the Payers feature and allows the user to delete payer records individually or in bulk
Billing Providers

Access to the Billing Providers feature to manage entities billing claims to Payers, who in return receive payments and denials

  • Create - Gives access to the Billing Providers feature to create new payer records
  • Update - Gives access to the Billing Providers feature to update existing payer records
  • Delete - Gives access to the Billing Providers feature and allows the user to delete payer records individually or in bulk
Procedures

Access to the Procedures feature to manage a listing of service codes with billing/claim requirements and rates defined

  • Create - Gives access to the Procedures feature and ability to click the New Procedure dropdown to select either New Procedure from Template or New Procedure to create a new procedure record. Creating a procedure from duplicating an existing procedure is allowed with this permission.
  • Update - Gives access to the Procedures feature and ability to update procedure records individually or in bulk
  • Delete - Gives access to the Procedures feature and allows the user to delete procedure records individually or in bulk
Billing Rates

Access to the Billing Rates feature inside the Procedures feature to manage the list of Billing Rates

  • Create - Gives access to the Procedures feature and ability to create new billing rates for an existing procedure when clicking the View Record option under the Actions column for a procedure. 
  • Update - Gives access to the Procedures feature and ability to update billing rates for an existing procedure when clicking the View Record option under the Actions column for a procedure
  • Delete - Gives access to the Procedures feature and the ability to delete billing rates for an existing procedure when clicking the View Record option under the Actions column for a procedure
Service Facility Locations

Access to the Service Facility Locations feature to manage physical sites where services are provided to consumers

  • Create - Gives access to the Service Facility Locations feature to create new Service Facility Location records
  • Update - Gives access to the Service Facility Locations feature to update Service Facility Location records
  • Delete - Gives access to the Service Facility Locations feature and the ability to delete Service Facility Location records individually or in bulk
Processing
Access to the following features: Pre-Charge Check and Eligibility
Pre-Charge Check Access to the Pre-Charge Check feature and ability to view the current status (Billable or Not Billable) for all events created in AccuBill
Reports

Access to view reports on billing activity and user activity

Change History Access to review a report of actions made by users in AccuBill
