Pre-Charge Check

The Pre-Charge Check feature allows you to see which billing events (services) are billable/not billable, and why. Pre-Charge Check ingests the service, consumer, and note writer data from AWARDS and created billing events, compares the data ingested against procedures that have been configured in AccuBill, and finds matches. Billing events that meet a procedure’s billing requirements are matched to those procedure(s), and events that do not match are flagged, and a reason is indicated.

 

The Pre-Charge Check feature is fueled by data ingested into AccuBill from AWARDS, alongside data entered or records created within the various AccuBill configuration features under the Account Management and Configuration Management sections.
 

 


AccuBill Features Required for Pre-Charge Check 

 

To use Pre-Charge Check, use of some other AccuBill features is required. Below is a list of Required, Situational, and Not Required features for using Pre-Charge Check.

Using Pre-Charge Check 

 

Follow the steps below to learn how to use the Pre-Charge Check feature. You can click through each step or view as a full page.

 


Running the Pre-Chare Check 

 

To begin running the Pre-Charge Check, follow the steps below:

 

  1. Primary Filter - Select Consumer, Date Range, or Program - Required
    1. Consumer - see billing events by consumers
    2. Date Range - see billing events by an event date range
    3. Program - see billing events by programs
  2. Start Date - set the start date to see billing events for - Required
  3. End Date - set the end date to see billing events for - Optional
  4. Consumer OR ProgramRequired
    1. Consumer - Is displayed when Consumer is selected as the Primary filter and lists the various consumers in AccuBill to see billing events for
    2. Program - Is displayed when Program is selected as the Primary filter and lists the programs in AccuBill to see billing events for
  5. Generate Report - Click this button to display the results of the filters selected

 


Viewing the Pre-Charge Check 

 

Within the Pre-Charge Check table, you’ll see the following:

 

Dropdowns:

  • Consumers - Select specific consumers to focus on - Optional
  • Programs - Select specific programs to focus on - Optional

Tabs:

  • Not Billable - A listing of billing events that do not match at least one procedure
  • Billable - A listing of billing events that match at least one procedure
  • Billed - A listing of billing events that have been used to create charge records in the Creating Charges feature
  • Non-Billable - A listing of billing events that have ben flagged as non-billable by a user
  • All - A listing of ALL billing events

Columns:

  • Status - The current status of the billing event
  • Consumer - The consumer’s last and first name associated with the billing event
  • Event Date - The date of the billing event (service)
  • Program - The program associated with the billing event
  • Matched Procedures - Listing of procedures that have been matched to the billing event
  • Unmatched Procedures (Top 5) - Listing of the top/closest 5 procedures that could be matched to the billing event
  • ID - ID assigned to the billing event when it is created
  • Charge ID(s) - Charge IDs created from the billing event
  • Actions
    • Flag as Non-Billable - Option to assign a status of Non-Billable to a Not Billable billing event.  Note: When doing this the billing event will be moved to the Non-Billable status tab.
    • Reprocess - Option to process a billing event.  Note: Reprocessing a billing event could enable to it match a different procedure(s) if a procedures configuration has changed since the billing event was created.

Details:

Clicking the down arrow (v) to the left of the checkbox for a billing event record will display the details of the billing event.. The details can very based on the type of billing event and if the billing event contains or doesn’t contain information.

 

Unmatched Procedures (Top 5)

This section lists the top/closest 5 procedures that could be matched to the billing event.  The closest match will be listed first.  Click the the down arrow (v) to see the details of why the billing event doesn't match the procedure.

  •  
    • Consumer EHR ID - The consumer’s record ID from the EHR
    • Date of Birth - The consumer’s date of birth
    • Program History - The program history for the consumer
    • Note Writer - The person who provided the service
    • Note Writer NPI - The NPI associated with the person who provided the service
    • Note Writer Credentials - List of current (active on the date of service) credentials for the note writer
    • Billing Event Type - Event type from EHR used to create the billing event (eg. Progress Note, Group Note, etc.)
    • Billing Event EHR ID - The service event record ID from the EHR
    • Payers - List of current (active on the date of service) payers for the consumer
    • Program - The program associated with the service/billing event
    • Start Time - The start time for the service/billing event
    • Duration - The duration (in minutes) for the service/billing event
    • Service Type - The service type for the service/billing event

    • County - The county for the service/billing event
    • E-Signed - Whether the service was e-signed (Yes or No)
    • Face to Face - Whether the service was face to face with the consumer (Yes or No)
    • Contact Method - The contact method for the service/billing event
    • Crisis/Routine - Whether the service has Crisis or Routine selected
    • Service Plan Linked - Whether the service was linked to the consumer’s service plan (Yes or No)
    • Ratio - The ratio (or program specific name) for the service/billing event
    • Interactive Complexity - Whether the service included interactive complexity (Yes or No)
    • Form Data - The questions answered in the attached form that are flagged as "billing questions"
    • Supervising Provider - The supervising provider for the service/billing event
    • Language - The language for the service/billing event
    • Day of the Week - The day of the week when the service took place
    • Primary ICD-10 Code - The primary ICD-10 code selected in the service
    • Secondary ICD-10 Code(s) - The secondary ICD-10 code(s) selected in the service

Reprocessing Billing Events

 

If the billing requirements within a procedure record are updated after a billing event record has been created, billing events can be reprocessed so that they are accurately matched to a procedure(s). To reprocess a billing events in bulk that haven't been used to create a Charge record within the Creating Charges feature, simply check the box to the left of the billing event records and click the Reprocess button within the footer on the screen.  Billing Events can also be reprocessed one at a time, by selecting Reprocess from the Actions column for a billing event.

 

Note: Unbilled Billing Events can also be reprocessed when updating a procedure record within the Procedures feature. Simply click the checkbox called Reprocess All Billing Events on either the edit screen or create new screen for a procedure.  However, when reprocessing from the procedure record, only billing events with an Event Date in the last 60 days will be reprocessed. To reprocess older billing events, the PCC reprocessing tool needs to be used.

 


Pre-Charge Check Development Roadmap 

 

Currently, the Pre-Charge Check feature will only work with Progress Notes, Contacts Log, Group Notes, and Nightly Absence data, but it will soon work with other data types (TransportationAttendance, Group Attendance, and Charting Timetable).

 

Please Note: The Pre-Charge Check feature does not check supporting information (for example demographic information, note writer NPI, etc.) for the claim. All supporting claim information will be checked during the charge creation process in the Creating Charges feature. At that time, all claim warnings will be presented to the user so they can review and address as needed.
