The Pre-Charge Check feature allows you to see which billing events (services) are billable/not billable, and why. Pre-Charge Check ingests the service, consumer, and note writer data from AWARDS and created billing events, compares the data ingested against procedures that have been configured in AccuBill, and finds matches. Billing events that meet a procedure’s billing requirements are matched to those procedure(s), and events that do not match are flagged, and a reason is indicated.
The Pre-Charge Check feature is fueled by data ingested into AccuBill from AWARDS, alongside data entered or records created within the various AccuBill configuration features under the Account Management and Configuration Management sections.

Follow the steps below to learn how to use the Pre-Charge Check feature. You can click through each step or view as a full page.
Running the Pre-Chare Check
To begin running the Change History Report, follow the steps below:
- Primary filter > Select Consumer, Date Range, or Program - Required
- Consumer - see billing events by consumers
- Date Range - see billing events by an event date range
- Program - see billing events by programs
- Start Date - set the start date to see billing events for - Required
- End Date - set the end date to see billing events for - Optional
- Consumer OR Program - Required
- Consumer - Is displayed when Consumer is selected as the Primary filter and lists the various consumers in AccuBill to see billing events for
- Program - Is displayed when Program is selected as the Primary filter and lists the programs in AccuBill to see billing events for
- Generate Report - Click this button to display the results of the filters selected
Viewing the Pre-Charge Check
Within the Pre-Charge Check table, you’ll see the following:
Dropdowns:
- Consumers - Select specific consumers to focus on - Optional
- Programs - Select specific programs to focus on - Optional
Columns:
- Checkbox - Use this to select a billing event to be reprocessed (see below for more details)
- Click to see the details of a billing event that has or doesn’t have a matching procedure(s)
- Green = at least 1 procedure has matched
- Red = no procedures have matched
- Consumer - The consumer’s last and first name associated with the billing event
- Event Date - The date of the billing event (service)
- Program - The program associated with the billing event
- Matched Procedures - Listing of procedures that have been matched to the billing event
- Unmatched Procedures - Listing of the top/closest 5 procedures that could be matched to the billing event
Details:
After clicking either , the details of the billing event will be displayed. The details can very based on the type of billing event and if the billing event contains or doesn’t contain information.
Progress Note & Contacts Log:
- Consumer EHR ID - The consumer’s record ID from the EHR
- Date of Birth - The consumer’s date of birth
- Program Status - The program history for the consumer
- Note Writer - The person who provided the service
- Note Writer Credentials - List of current (active on the date of service) credentials for the note writer
- Billing Event Type - Event type from EHR used to create the billing event (eg. Progress Note, Group Note, etc.)
- Billing Event EHR ID - The service event record ID from the EHR
- Payers - List of current (active on the date of service) payers for the consumer
- Program - The program associated with the service/billing event
- Start Time - The start time for the service/billing event
- Service Type - The service type for the service/billing event
- Progress Note Type - The note type for the service/billing event
- Location - The location for the service/billing event
- Duration - The duration (in minutes) for the service/billing event
- Face to Face - Whether the service was face to face with the consumer (Yes or No)
- Contact Method - The contact method for the service/billing event
- Crisis/Routine - Whether the service has Crisis or Routine selected
- E-Signed - Whether the service was e-signed (Yes or No)
- Service Plan Linked - Whether the service was linked to the consumer’s service plan (Yes or No)
- Language - The language for the service/billing event
- Ratio - The ratio (or program specific name) for the service/billing event
- Day of the Week - Day of the week when the service took place
- Interactive Complexity - Whether the service included interactive complexity (Yes or No)
- Last Modified - Date/time the service record was last updated in the EHR
- Procedures that did NOT match - The top 5/closest procedures that could match, with the closest match listed first

Reprocessing Billing Events
If the billing requirements within a procedure record are updated after a billing event record has been created, billing events can be reprocessed so that they are accurately matched to a procedure(s). To reprocess a billing event that hasn’t been used to create a Charge record within the Pre-Charge Check event simply check the box to the left of the billing event record and click the Reprocess button within the footer on the screen.
Note: Billing events can also be reprocessed when updating a procedure record within the Procedures feature. Simply click the checkbox called Reprocess All Billing Events on either the edit screen or create new screen for a procedure.
Pre-Charge Check Development Roadmap
Currently, the Pre-Charge Check feature will only work with Progress Notes and Contacts Log data, but it will soon expand to other forms of data (Group Notes, Transportation, Attendance, Group Attendance, and Nightly Absences.)
We will also be adding enhanced configuration screens that are more user-intuitive, smart, and designed to reduce redundancy and user error.
Please Note: The Pre-Charge Check feature does not check supporting information (for example demographic information, NPI, etc.) for the claim. All supporting claim information needs will be checked during the Charge generation process. At that time, all errors will be presented to the user so they can review, and address as needed.
