New Permission for Controlling Access to Certain FormBuilder Forms (Starting 12/12/24)
Have you ever wanted certain FormBuilder Forms to be available only for certain user groups or individuals? You can now control access to standalone* FormBuilder Forms with a new permission!
FormBuilder Configuration now has a Permissions tab with a “Restrict by Permissions” checkbox option. Once a form is configured with this option checked, the form will only be accessible to users with the assigned permission. If the box is left un-checked, the form’s access remains as it is.
Permission is granted via the Permissions Maintenance module in the same way all other permissions are set. You’ll see a new permission type for FormBuilder Forms and permissions can be set for the forms that are configured to be restricted. Only users granted that permission via permission levels will have access to that form within AWARDS.
FormBuilder Admins: If you restrict an existing FormBuilder form, please inform affected users that they will no longer see the form - in an effort to reduce confusion.
Users: If you historically had access to a form and no longer see it displayed for you, please check with your Admins to see if it was recently restricted by this new permission.
*Standalone FormBuilder Forms are forms configured for one of the following locations:
- Discharge - as a link on the Discharge fly-out
- Discharge - as a link on the Process Discharge menu
- Employee - as a button on the Human Resources Menu
- Employment - as a link on the Jobs fly-out
- Intake/Admission - as a linked form on Intake/Admission Form
- Medical - as a link on the Medical fly-out
- Profile - as a link at the top of client face sheets
- Services - as a link on the Services - Individual fly-out
Please Note: At this time, there is only one permission that controls both access AND editing. There is no way to allow read-only access to restricted forms without the ability to add or edit the forms.
