The Password Reset feature can be used to change your own password, and for users with the proper authority the passwords of other users as well.
Users who do not have access to the System Setup module will have access to password reset capability via the Password & Security feature in the navigation bar's user name drop-down; however, please be aware that within Password & Security you can only reset your own password, not the password of any other users.
Required Permissions
Unless you are a member of the "Executive Officer" and "System Administrator" user group, use of the Password Reset feature requires at least ONE of the following permissions:
- Display Executive Administration Buttons
- Permissions Data Entry
- Permissions Data Entry for All Staff and Layers
Permissions are assigned using the Permissions Maintenance feature. If you do not have access to that feature and need a permission listed here, please contact your supervisor or your local Help Desk for assistance.
Resetting a Password
To reset a password, complete the following steps from the AWARDS Home screen:
-
Click Administration from the left-hand menu, and then click System Setup. The System Setup fly-out menu is displayed.
If you do not have access to System Setup, you must instead use the Password & Security feature to change your password.
-
Click Login Maintenance, and then click Password Reset. The Password Reset page is displayed.
For some users the Password Reset feature is located directly on the System Setup fly-out menu and Login Maintenance does not need to be clicked first. If this is the case for you, please skip to step 3.

Click the Database User drop-down arrow and select the AWARDS user whose password is to be changed.
All users can change their own password, supervisors can change the passwords of their supervisees as well as of the users their supervisees supervise, and members of the "Executive Officer" and "System Administrator" user groups can change the password for anyone.
If the password to be reset is for a discharged consumer, click the Show Discharged Consumer Logins checkbox before completing this step, and then click the corresponding Discharge Window drop-down arrow and choose the year in which the consumer was discharged. The Database User selection list is updated to reflect your selection.
-
In the New Password field, type the user's new password. Passwords must contain both letters and numbers, and must be between 12 and 64 characters in length.
Passwords are case sensitive and may contain special characters. Additional password requirements may also be in place if your agency has chosen to use our advanced Password Policy Rules.
-
In the Confirm Password field, re-type the user's new password.
-
Click Change Password. The new password is saved and a confirmation pop-up is displayed.
-
Click OK to return to the Password Reset page.
The process of resetting a user's AWARDS password is now complete.
Frequently Asked Questions
- How do I change my password?
The primary point of access for changing your own password is the Password & Security feature located in the user name drop-down in the AWARDS navigation bar. All users - be they employees or consumers - have access to this feature and can use it to change their password, as well as other security-related information.
Some users may also have a secondary point of access - the Password Reset feature located under Administration > System Setup > Login Maintenance. Access to that feature is limited and only gives users with access to it the ability to change passwords and not any other security information. In some cases users with access to the Password Reset feature will also be able to change the passwords of others as well.
- How do I change the password for a consumer with a login?
You cannot use the Password Reset feature to reset the password for an active consumer with a login. Instead, you must use the Create New Login feature. There, enter the consumer's login ID and user group information exactly as it was entered when the login was created, and enter a new password. When you continue the old password is replaced with the one you've just entered.
Keep in mind that consumers who know their current password can also complete password changes on their own using the Password & Security feature. If they don't remember their current password but previously configured their security details information they can instead use the forgot password link on the login page for assistance in resetting their password.
To change the password for a discharged consumer with a login, use the Password Reset feature, being sure to check off the Show Discharged Consumer Logins checkbox, and then choosing the year in which the consumer was discharged from the Discharge Window drop-down. You will then be able to select the former consumer from the database user selection list and change the password as needed.
- How do I find out what my password is if I've forgotten it?
There is no way to retrieve a forgotten password; however, if you've configured your Password & Security request a password reset by clicking the forgot password link on the AWARDS login page, and then fill in the requested security information. If you have not configured your security details or cannot correctly remember the information specified there, you will need to contact your supervisor or AWARDS administrator for assistance.
- What are the requirements when creating a password?
Passwords are case sensitive. They must be between 12 and 64 characters long and must include a number.
Additional password requirements may also be in place if your agency has chosen to use our advanced Password Policy Rules.
- Where do I change my password if I don't have access to the System Setup module?
The primary point of access for changing your own password is the Password & Security feature located in the user name drop-down in the AWARDS navigation bar. All users - be they employees or consumers - have access to this feature and can use it to change their password, as well as other security-related information.
-
Who can I change passwords for?
Regular AWARDS users / direct care staff can change passwords only for themselves. The ability to change passwords for other users is governed by the following rules:
- If you are in the "Executive Officer" user group, you can change the password of anyone at your agency.
- If you are in the "System Administrator" user group, you can change the password of anyone in the database.
- If you have supervisees, you can change the passwords of those supervisees as well as the passwords of their supervisees.
-
Why am I unable to locate a user in the Password Reset feature who I know has a staff information record?
While having an HR record is a prerequisite for having a login, it does not necessarily mean that a login was ever created for the user. If the user's name is missing from the selection list in the Password Reset feature, search for him or her using the Messages module Address Book feature. If he or she is not found, it is an indication that no login was ever created. That step must be completed before password changes can be made. For more information on creating a user login, see Creating a New User Login.
