FootNotes - November 2022

What's New in AWARDS

The following new features, enhancements, and updates will be available in your AWARDS database beginning on Wednesday, November 2nd.

BillingBuilder Updates!

Total Authorized Measurement Default

The Total Authorized dropdown menu when entering a BillingBuilder Insurance Authorization record can now default to either; Invoices, Procedures, Units, or have a blank value set. The current default setting for all AWARDS databases is Procedures. To have the default adjusted in your AWARDS database, please contact the AWARDS Help Desk.

Total Remaining and Total Invoiced Details for Insurance Authorizations Data

Detailed information about which services and invoices are connected to an authorization record can now be seen when viewing a BillingBuilder Insurance Authorization record. When a consumer has services entered that meet the billing requirements of an authorized procedure(s), users can click on a Details "+" sign under the Total Remaining column and see an expanded list of those services and the units those services are expected to bill. Similarly, within the Total Invoiced column users can click on a Details "+" sign and see an expanded list of invoices attached to the authorization record.

The Faces of Foothold

Emily Lovrince, Support Specialist

We at Foothold talk about ourselves collectively all the time. For example, “We” are launching new AWARDS features, or “We” are working on a large-scale initiative to redesign AWARDS. But behind the “we” are some faces that we think you should know. This section of FootNotes - The Faces of Foothold - is a place to spotlight the individuals working hard (sometimes behind the scenes) to make sure your experience of AWARDS is one that elevates the capabilities and the outcomes of the hard work you do every day.

Meet Support Specialist, Emily Lovrince. You might recognize her name from your interactions with the Foothold Help Desk. The Foothold Support Team works hard to provide dependable, timely, and thorough support to AWARDS users. When you connect with the Foothold Help Desk for assistance, to report an issue, or to request some database configurations, Emily is one of the specialists you’ll work with!

Emily joined Foothold in 2012, which means she has an extensive amount of AWARDS expertise. Prior to Foothold, Emily worked in human resources, and before that, she worked as a case manager for various social service programs.

We asked Emily what she likes most about her job. Her answer: I like to think I help social workers do their job better. I say this in terms of having access to information, ease of record keeping, reporting, etc. I didn’t love my direct service job as an MSW, but here at Foothold, I like that I am able to support those doing the in-person work. I see myself as a partner in the agency’s mission, working in the background.

Fun Fact: Emily’s family moved to “the woods” this summer. Recently, she caught and released a mouse! The point of entry has since been closed. Never did she ever think mouse trapping would be on her list of skills!

Tip of the Month - Making the Most of the Face Sheet Photo in AWARDS!

Did you know the Face Sheet Photo is available dynamically in AWARDS? It’s true! You can see it in reports and forms, not just the Face Sheet. Read below to learn all the ways you can harness the Face Sheet Photo.

When running a Demographics ReportBuilder in AWARDS, you will find a field for "Photo" in the Demographics field section. This allows you to pull the client’s Face Sheet Photo into any Demographics ReportBuilder. Want to provide a census report for the front desk or program staff that allows them to see what someone looks like? Go ahead and drop that field into a basic census report using the Demographics ReportBuilder!

Because the "Photo" field is available in the Demographics ReportBuilder, it can also be made available in the Demographics fields selection list in all other ReportBuilders in AWARDS. If you don't see it showing in a particular ReportBuilder, just send a request to the Help Desk. How can this be useful you might ask? Well, imagine you want to ensure staff administering medications are doing so to the correct individual. Simply save a Medications ReportBuilder with all the right details, and include the "Photo" field so that staff running the report can see the photo and confirm they are working with the correct clients.

In addition to reports, the Face Sheet Photo is also available for inclusion in FormBuilder forms. When creating your FormBuilder forms, you can choose to include a “Dynamic Text Field (read-only)” field and select “Photo” for the field. When you include this field on any FormBuilder form, it will drop in the client’s current Face Sheet photo. The options here are endless, and not limited to new forms. You can add this field to any existing forms and place the photo where it makes sense on the form.

Have a look and see how you can harness this feature. If you come up with creative ideas you’d like to share with us, we’d love to hear about them! Happy reporting and form-building!
