Using the Entitlements ReportBuilder

The Entitlements ReportBuilder, located in the  AWARDS Reports module, is used to generate customized reports of client demographics and entitlement information. 

To generate and save an Entitlements ReportBuilder report that can be re-run in the future, to generate a single-use report, or to use and/or update an existing report format to generate a report, complete the following steps from the AWARDS Home screen:

  1. From the left-side navigation menu, click the Reports icon.

  1. In the Search field, type "Entitlements" to find the Entitlements ReportBuilder. 

Note: If you previously bookmarked the Entitlements ReportBuilder, you can find it listed in your Bookmarked reports in the left-side "Show Reports" menu.

  1. Click Entitlements ReportBuilder from the reports index.  The Entitlements ReportBuilder Settings page is displayed.

  1. Select the Program from the drop-down menu. 
  2. Using the Roster Date Range drop-down menu, choose which clients to include in the report. Options include:
  • In Program
  • In Program Including Pending Clients
  • Admitted
  • Admitted or Transferred In
  • Discharged
  • Discharged or Transferred Out
  1. Make changes to the date range fields as needed. Note: A two-year period is the maximum allowed. 
  2. Select one of the following options:
  • Clients with Records - Includes all clients with records matching the report settings
  • All Clients - Includes all clients on the program roster, whether or not their records match the report settings
  • Select Client - Limits the report contents to the records of a single selected client - if records are found that match the report settings

 

  1. Report contents are limited to entitlements records that were in effect at some point during the date range specified using the Entitlements Date Range.  By default, the Entitlements Date Range is set for entitlements currently active on today's date.  If necessary, make changes to that default date range.  When doing so please keep in mind that a two-year period is the maximum allowed.
  2. Leave the Provide ExportBuilder Options checkbox unchecked.  It is NOT relevant to report generation.

Note: This option is used to provide access to an ExportBuilder corresponding to this ReportBuilder. AWARDS ExportBuilders are designed for use by those who are familiar with export files and formats, their design, and setup. With ExportBuilders, you can create customized data reports and generate export files like CSV, TXT, XLS, or XML. These exported files can then be uploaded into other data collection systems as needed. To learn more about ExportBuilders, click here

  1. If you would like this report (both the content and the Excel file) to be sent to your AWARD Messages, click the Send in AWARDS Messages checkbox.
  1. Use the Select a saved report format drop-down option at the bottom of the page to specify whether you will be generating the report from scratch or using a previously saved format.  Available options are:
  • Use a previously saved report format
  • Start from scratch
  1. Click Continue. Note: If you are using an existing report format and have NOT chosen to view/modify the settings of that format, you will be taken directly to the report page. 
  2. The Options page is displayed.

 

  1. Select the variables you'd like to include in the report. 
  2. Click Continue. The Options - Continued page is displayed.

  1. Configure the variables you'd like to include in the report. 
  2. To save the report settings so this report can be re-run in the future, click SAVE REPORT FORMAT
  3. Configure the fields and options on this dialog box to include the specifics of how the report should be saved.
  4. Click Save Report Format. 
  5. Click Display Report.
