The AWARDS E-Prescribing feature is an optional database service that enables physicians and other medical professionals to electronically send client prescriptions directly to a pharmacy to be filled using a partner application. When subscribed to, this feature is accessible from within the Medical module's Medications feature. It is also accessible wherever forms built with the FormBuilder are placed if those forms have been set to include the medications dynamic section. For more information on this powerful add-on tool, please refer to the resources provided below.
Required Permissions
Because the E-Prescribing feature is an optional add-on service available by subscription, it is not automatically available in all databases, nor is it automatically available for all users when an agency subscribes to it. In subscribing agencies, access is assigned to individual users by Foothold Technology. To request access to the AWARDS E-Prescribing feature, send a message to the Help Desk via AWARDS Messages.
Note: In multi-agency databases, AWARDS E-Prescribing is turned on at the agency level and access can only be given to staff members who are assigned to an agency/division. As a result, CoC/Continuum members cannot be granted AWARDS E-Prescribing access.
To use the E-Prescribing feature, you must have the following permissions assigned to you:
- Program Chart Access
- Display Any Chart Records Button
- Display Chart Records Medical Button
- Display Chart Records Profile Button (Optional - to work with medications from a client's Face Sheet if the face sheet has been configured to allow it.)

Sending a Prescription to a Pharmacy

Prescriptions can be entered and sent to a pharmacy to be filled from within a client's Medication records. To do so, complete the following steps from the AWARDS Home screen:
TIP: If you are already viewing the client's Medication records, skip ahead to step 5.
NOTE: You must be registered as a prescriber before you can send a prescription. If you have not yet registered, contact the Help Desk for assistance.
- Click Charts from the left-hand menu, and then click Medical. The Medical fly-out menu is displayed.
- Click Medications. The Medications index page is displayed.
- Click the Program drop-down arrow in the upper-right corner of the page and select the program associated with the client for whom a prescription is to be sent.
- Click the Client drop-down arrow and select the client for whom a prescription is to be sent.
TIP: If the medication records to be worked with are for a former (discharged) client, first click the Archives toggle to the right of the client selection option.
The index page is automatically refreshed to display any existing medication records for the selected client.
TIP: When working on the index page, medication records are easily accessible using the following tools and navigation features:
"Show Records" display options - By default the index displays all current medication records (those with a start date prior to today AND no end date, or with an end date that is in the future). To expand the display to include all existing medication records for the client instead, click All under "Show Records" in the left-hand menu. An Available for Deletion option is also available there for users with the "Medication Data Deletion" permission.
Sorting options - By default the index is sorted alphabetically by medication name, from A-Z. To adjust the sorting click a column header in the table to sort by that data variable instead. Clicking a column heading a second time reverses the sort order.
Navigation options - 10 records are displayed on the page by default. To access records on subsequent pages of the index (when applicable), click the arrows in the bottom-right corner of the table. To display 25 or 50 records at a time, click the Show drop-down to the left of the record count, also in the bottom-right corner, and make a selection.
Once you select records on the index, a count of how many total records are selected is displayed in the action bar. Selections are maintained while moving from one page of the index to the next; meaning, you can select records on the first page (showing records 1-10 by default) and move to the next page (displaying records 11-20) without losing the selections made on the first page. Links for Show all selected records and Uncheck All are available beneath the index table for easy navigation.Search and filtering options - A Search field is available on the action bar along with a corresponding Filter by drop-down list. To search the contents of the index (including those records not currently displayed on the page), enter a value in the Search field. The index is automatically updated as you type. To further narrow your search, use the Filter by selection to indicate whether the search should look at data in "All Columns" (the default) or a specific column.

- AWARDS E-Prescribing Notifications - Available to E-Prescribing agencies. Opens a Prescriptions Report listing RX notifications and action items. For instructions see below.

- Medication Lookup - Opens RxList from which users can access medication lookup information. (The label and website may vary, based on agency settings.)

Click the
Open AWARDS E-Prescribing icon from the action bar above the records table. The AWARDS E-Prescribing Dashboard is opened in a new browser window, displaying an overview of the client's information along with options for working with his/her medication records.
IMPORTANT! Please be mindful that:
Some values must be entered on a client's face sheet in order to prescribe medications for that client (specifically: First Name, Last Name, Address, City, State, Zip, Date of Birth, and Gender). If any of the required information is not present, you will receive a pop-up notification at this time and must navigate to Census > Profile > Face Sheet for the client to complete the necessary data entry before you will be able to proceed.
If your browser is set to use a pop-up blocker it may prevent the E-Prescribing window from being opened correctly.
When the AWARDS E-Prescribing Patient Dashboard is opened in the second browser window, AWARDS continues to be active in the initial browser window. It should be left open.
- At this time, begin the prescription entry process using any of the following methods:
Prescribe a medication from a drug search - To do so, click Create New Prescription. A searchable drug text box is displayed.
In the Search field, type the name of the drug to be prescribed; those matching the search criteria are displayed automatically. Click the name of the drug being prescribed, or click the magnifying glass icon to display a full list of search results, and then make your selection. Common strength options are then displayed for the selected drug. Click the appropriate strength or use the Enter Free Text option to set the strength manually. The Prescribe Medication page is now displayed. Continue with step 7.
Prescribe a medication from the patient's active medications list - If the patient has an active medication history, a medication can be prescribed or renewed from it directly. To do so, from the "Medications" portion of the page click the checkbox next to the drug to be prescribed. Next, do one of the following:
Renew from medication - Used to create a prescription with the exact same details from the last time the drug was prescribed, attach the patient's current default pharmacy, and add it as a pending prescription in the "Prescription Management" portion of the dashboard. To do so, click the corresponding renew icon, and then click the checkbox for the drug under "Prescription Management." Skip ahead to step 9.
Prescribe from medication - Used to create a new prescription for this medication without necessarily using the exact same details from the last time the drug was prescribed. To do so, click the corresponding prescribe icon. The Prescribe Medication page is displayed, containing information for the selected drug with details automatically populated. Make changes to the information on this page as needed, and then continue with step 7.
Prescribe a medication from your Favorites List - Click
Favorites. From the list that is then displayed (containing any medications you previously marked as a favorite), click the name of the drug to be prescribed. The Prescribe Medication page is displayed. Continue with step 7.
TIP: The Favorites list also includes prescriptions previously saved for the selected drug. Clicking a saved prescription for the drug in question bypasses the Prescribe Medication page and adds it as a pending prescription under "Prescription Management." When using this shortcut, skip ahead to step 9.
TIP: For in depth instructions on any of the above AWARDS E-Prescribing methods and information on all data entry fields/options, click the menu icon in the upper left-hand corner of the Dashboard page, and then click Support Center. On the following page, click Help, and then Prescriptions to expand the topic list.
- Enter or update all required values on the Prescribe Medication page.
- Click Review. The Review Prescription page is displayed, containing a read-only view of the prescription details entered on the previous page.
- At this time, review the prescription details to confirm they are accurate and complete one of the following tasks, each represented by a button on the page:
NOTE: Available options may vary based on how AWARDS E-Prescribing is set up for your agency. If any of the actions below direct you to a button that you do not see, click Save Pending Rx instead. The dashboard will then be displayed and the send and signing options will be available in the "Prescription Management" portion of the page. Click the checkbox next to the prescription, enter your Signature Password, and then click the appropriate action button to complete the process.
Make changes to the prescription before proceeding - Click Back to return to the Prescribe Medication page where changes can be made as needed. Repeat steps 7 through 9.
Save the prescription WITHOUT sending and return to the Dashboard - Click Save Pending Rx. The prescription is saved and the AWARDS E-Prescribing Patient Dashboard is re-displayed with the prescription listed as "Pending" in the "Prescription Management" portion of the page.
Print the prescription WITHOUT sending it to the pharmacy - Enter your password in the Signature Password field, and then click Print don't Send. A copy of the prescription is printed and the prescription record is saved as "completed."
Add the medication to the client's active medication list WITHOUT sending - Enter your password in the Signature Password field, and then click Sign don't Send. The medication is added to the client's active medication list and the prescription record is saved as "completed."
Send the prescription to the pharmacy for filling - Enter your password in the Signature Password field, and then click Send. The prescription is transmitted to the pharmacy electronically.
Send the prescription to the pharmacy for filling - AND - print a copy - Enter your password in the Signature Password field, and then click Send & Print. The prescription is transmitted to the pharmacy electronically and a copy is printed for your records.
Cancel the prescription - Click Cancel. The prescription is NOT saved, sent, or printed, and you are returned to the AWARDS E-Prescribing Patient Dashboard.
If a controlled substance was prescribed and you are already a registered prescriber, continue with step 10; otherwise, continue with step 13.
TIP: If you are prescribing a controlled substance and have not yet completed the registration process, see below for more information.
- You are now directed to two factor authentication. Click the check box next to any controlled substances to be sent.
- Enter your EPCS Signing Passphrase, select your EPCS Token Device, and then enter the Token PIN.
- Click Sign and Send.
- To exit the AWARDS E-Prescribing system and return to the AWARDS Medications page, click the green arrow icon to the right or your name in the upper-right corner of the dashboard window, and then select Return to AWARDS.
The updated Medications index is displayed, with any e-prescribed and synced medications shown and noted with "(Rx)" next to the drug name.
NOTE: Only medications that have been sent to a pharmacy using Send or Send & Print, or that have been saved using Save Pending Rx, Save and Add Rx, Print don't Send, or Sign Don't Send (in step 9) are displayed in the AWARDS Medications index.
The process of sending a prescription to a pharmacy is now complete.

Accessing the AWARDS E-Prescribing Support Center
The AWARDS E-Prescribing system partners AWARDS with a partner application through which a wide variety of prescription management features are available to providers. AWARDS Online Help provides step-by-step instructions for key processes such as Sending a Prescription to a Pharmacy, while other aspects of managing prescriptions are detailed in the E-Prescribing system's Support Center; for example:

To access the Support Center, open the AWARDS E-Prescribing feature and from the AWARDS E-Prescribing Patient Dashboard, click the menu icon in the upper left-hand corner of the screen, and then select Support Center. Viewing AWARDS E-Prescribing Notifications (Prescriptions Report)
The AWARDS E-Prescribing Notifications report, also referred to as the Prescriptions Report, contains a list of all patient prescription notifications and action items that may require provider follow-up. To access this report, click AWARDS E-Prescribing Notifications from the Medications index page's left-hand menu. The report is then displayed in a new window within the E-Prescribing system.
NOTE: This report is NOT client or user specific; it contains notifications and action items for all clients and providers across the practice.
Working with Internal Audit Messages for Prescriptions Requiring Approval
Users with access to the AWARDS E-Prescribing feature automatically receive internal audit messages via the AWARDS Messages module inbox when a pending prescription, refill order, or prescription change requires approval by the prescriber. These messages display with a subject of "You Have Pending E-Prescribing Notifications," and contain a link to the E-Prescribing system where physicians can approve items as needed.
TIP: E-Prescribing related internal audit messages are available for external notifications.
Managing Favorite Prescriptions
The AWARDS E-Prescribing system allows for the creation and maintenance of a Favorites List for quick and easy access to commonly prescribed medications. To manage this list, open the AWARDS E-Prescribing feature, click the menu icon in the upper-left hand corner of the page, and then select Utilities > Favorites. A list of currently favorited prescriptions is now displayed. From this page you can:
Add a new favorite - To do so, click Add Favorite, and then search for the medication to be favorited.
Duplicate, edit, or delete an existing favorite - To do so, click the corresponding action icon to the right of the existing favorite medication.
TIP: Duplicating a favorite prescription is useful for adding the same medication to your favorites list but with different details such as an alternate dosage or directions.
Setting a Patient's Default Pharmacy

To set a default pharmacy for a patient so that it's automatically available for quick and easy selection each time a new prescription is created for him/her, open the AWARDS E-Prescribing feature and from the AWARDS E-Prescribing Patient Dashboard click Please set the default pharmacy or the Pharmacy Search icon.
Using the filters on the page that follows, enter your search criteria, and then click Search. From the list of search results that is then displayed at the bottom of the page, click the name of the pharmacy to be set as a default.
TIP: For a description of a pharmacy before making a selection from the search results, use your mouse to hover over the pharmacy type on the far right.
NOTE: Up to five default pharmacies can be set for each patient.
Activating E-Prescribing of Controlled Substances

In order to electronically prescribe controlled substances (EPCS), providers must complete an ID proofing process, instructions for which are emailed directly to them outside of AWARDS. Once the ID proofing is complete, a user with an Administrator-level access to AWARDS E-Prescribing must work with the provider to activate the provider's EPCS access. This process requires the participation of both individuals from the same location.
To activate EPCS, complete the following steps from within the AWARDS E-Prescribing system:
- ADMINISTRATOR - Click the Menu icon in the upper-left corner of the E-Prescribing page.
- ADMINISTRATOR - Click Utilities and then select Logical Access Control. The Logical Access Control (LAC) page is displayed. This page lists any providers who have enrolled in EPCS already, meaning that they have completed the ID proofing process, activated their token, and entered their ID proofing confirmation code successfully. Providers for whom EPCS has not yet been activated are listed first.
- ADMINISTRATOR - Change the "Grant" selection for the provider being activated / granted access from Inactive to Active by clicking the corresponding radio button.
- ADMINISTRATOR - In the "Granting Administrator" portion of the page, enter your first and last names in the Please confirm... field. Doing so is an acknowledgement that you have confirmed that the provider has valid licenses.
- PROVIDER - In the "Authorizing Prescriber" portion of the page, select the OTP token to be used from the device list, enter the EPCS passphrase created during the ID proofing process, and enter the PIN from the OTP token.
- PROVIDER - Click Authorize. Your EPCS access is now activated and you can begin electronically prescribing controlled substances within the AWARDS E-Prescribing system.
The EPCS activation process is now complete.

Frequently Asked Questions
Are any additional steps necessary when terminating an E-Prescribing user in AWARDS?
When terminating (removing access for) an AWARDS E-Prescriber, contact the Foothold Help Desk after you've completed the termination process. We will then remove the user from the E-Prescribing system.
Can an address other than the client's current address be using when submitting prescriptions?
The ability to select an address other than the current one is useful in the event that the client's current address is not the address on record with his/her insurance carrier, and AWARDS has been configured to allow for this. Specifically, an Electronic Order Address option is available for this purpose within the Housing module's Housing Information feature (also accessible via the Demographics information portion of client face sheets). This checkbox displays beneath each address record on the page and can be checked off for ONE of those addresses. Whichever address it is checked off for - even one with a move out date - is the one that will be transmitted via AWARDS E-Prescribing when electronic prescriptions are submitted for the client.
Can controlled substances be prescribed using AWARDS E-Prescribing?
Yes. Prescribers who need the ability to send EPCS prescriptions should contact the Help Desk for assistance. Those prescribers will then receive an external email with instructions on completing the ID verification process and accessing EPCS.
Can I access AWARDS E-Prescribing for a discharged client?
Yes, the Archives toggle on the Medications index page can be switched to "yes" before making a client selection on that page if it is necessary to select a previously discharged client for data entry purposes.
Can I access AWARDS E-Prescribing within a FormBuilder form?
Yes. For FormBuilder forms set to display a dynamic section of the Medications feature, users with access to AWARDS E-Prescribing can click the AWARDS E-Prescribing icon from the form, prescribe medications, and return to AWARDS with the information syncing with AWARDS as usual.
Can I enter a maximum daily dose when prescribing?
The Maximum Daily Dose displays for only some controlled substances, unless your practice is in a state that requires it for all controlled substances.
Does AWARDS E-Prescribing detect drug-drug and drug-allergy interactions?
Yes, allergies with the Type "Drug allergy," "Drug intolerance," or "Propensity to adverse reactions to drug" that also have a valid NDC Code (within RxNav) will sync with the E-Prescribing system. However, if you use the Enter Free Text option to set the medication name and/or strength to be prescribed when creating a prescription, some interactions may not be detected.
How are end dates entered for electronically prescribed medications, and who can enter them?
Within the AWARDS E-Prescribing system, each medication can have a Stop Date entered for it, which will then be shown in AWARDS as a read-only End Date Subsequent changes to the Stop Date, if needed, must be made in the E-Prescribing system.
How do I add my Symantec token (needed for prescribing a controlled substance) to my new phone?
How do I enter tapers or titrations for e-prescribed medications?
Taper and titration instructions should be entered in the Additional Directions to Patient field when creating the medication record.
How do I reconcile a medications list when switching from Digital Rx to the new AWARDS E-Prescribing?
Medications that were previously e-prescribed using DigitalRx are automatically unlinked at the beginning of your transition to the new AWARDS E-Prescribing system, and current meds will not be synced to the AWARDS E-Prescribing system automatically. To assure that the current medication information for a client is available in the AWARDS E-Prescribing system, we recommend reconciling the medications list. Doing so involves opening the medication in data entry mode in AWARDS, and editing it until the RxNorm code is found. Re-saving the medication at that time results in a sync into the E-Prescribing dashboard. This can also be done with medications that were not originally e-prescribed if you want those to sync to the dashboard as current medications.
TIP: If there's a medication for which an AWARDS search does not return a result, it can be added into the E-Prescribing system directly using the Add Medication feature accessible from the E-Prescribing dashboard.
Before beginning this process, prescribers and program staff must decide on answers for the following questions:
Does it make sense to update all of the medications that were in Digital Rx with coded records? - AWARDS will still be the medication list of record in either instance, but if you want to see the medications in the E-Prescribing system, you must update them. When making a decision note that this can be a time-consuming process and medications will be updated organically as they are re-prescribed; however, in the interim doctors will have to carefully review the medication list in AWARDS.
If the answer to the above question is yes, does it make sense to update the medications in AWARDS? Or add them as new medications directly in the E-Prescribing system? - Some providers may prefer to enter medications directly in the E-Prescribing system because it has a more robust drug database. If that's the case, the relevant medications in AWARDS should either be deleted (by someone with the "Delete Medication" permission) or end dates should be added to them. Those medications can then be added via medication history in the E-Prescribing system. Alternately, you can use the drug list in AWARDS and update existing records through medication data entry by selecting an auto-complete record.
We recommend following the same process for any drug-related allergies in the AWARDS Allergies feature.
How do I reset the AWARDS E-Prescribing Signature Password I need in order to send prescriptions?
If you know your current password - Open AWARDS E-Prescribing, click the menu icon in the upper left-hand corner of the AWARDS E-Prescribing Patient Dashboard, and then click Settings. On the page that follows, click Signature Password. Fill in all required fields, and then click Save to complete the reset process.

How do I update my signature image in AWARDS E-Prescribing?
Your AWARDS E-Prescribing signature is not the same as the electronic signature you use elsewhere in AWARDS. Unlike your basic e-signature (which can be adjusted in AWARDS from the navigation bar > E-Signatures), your E-Prescribing signature can only be updated from within the AWARDS E-Prescribing feature itself. To do so, open AWARDS E-Prescribing, click the menu icon in the upper left-hand corner of the AWARDS E-Prescribing Patient Dashboard, and then click Utilities. On the page that follows, click Signature Capture. Using a mouse or touch-screen device, record your signature, and then click Submit Signature(s) to complete the capture process.
How does E-Prescribing work in multi-agency/divisional databases? Are there special considerations to be made?
When AWARDS E-Prescribing is set up for multi-agency/divisional databases, each database must have its own setup. As a result, if a user that operates in multiple divisions (for instance, is a CoC or Continuum user) will be working with the E-Prescribing functionality, he/she must have a login for each division and his/her own E-Prescribing registration for each. Continuum users cannot use AWARDS E-Prescribing.
How does "No Known Allergies" work in AWARDS E-Prescribing?
The No Known "switch" doesn't remove from E-Presrcribing because their allergy feature works slightly different than AWARDS. When we send the No Known it cannot be removed until another allergy is sent. So No Known works as follows:
This record is marked as deleted as soon as an active allergy is added to the patient's chart.
If all active allergies for a patient are marked as inactive, NKDA is automatically reflected on the patient's chart.
How is client (patient) information updated in AWARDS E-Prescribing?
Anytime the AWARDS E-Prescribing system is accessed for a specific client (or patient), AWARDS syncs any updated face sheet information to the E-Prescribing system where it can then be seen on the AWARDS E-Prescribing Patient Dashboard. As a result, if the client moves or has a new phone number, that information should first be updated in AWARDS. Then, the next time the AWARDS E-Prescribing is accessed from the client's medications page, the updated information will be reflected in the dashboard.
Is AWARDS E-Prescribing captured in the audit trail?
E-Prescribing actions captured in the audit trail are user registration, patient registration, and accessing the AWARDS E-Prescribing feature. Once a prescription is sent to a pharmacy and the new medication is synced into AWARDS, the audit trail also contains a record for medications data entry.

What are the different passwords for sending electronic prescriptions and what do I do if I forget them?
What does "Rx" after a medication name on the Medications index mean?
For agencies using the optional AWARDS E-Prescribing functionality, "Rx" next to a medication name indicates that the medication entered into AWARDS has synced to the E-Prescribing dashboard, or vice versa - that a medication prescribed on the dashboard has been synced into the AWARDS medications index.
What if the medication to be prescribed does not appear in the drug search results?
When searching for the drug while entering AWARDS medication records...
If, when adding a new medication record in AWARDS, the appropriate medication is not included in the search results, you can instead add it through the AWARDS E-Prescribing system when both of the following are true:
You want the medication synced into the E-Prescribing system
You are a "Clinical" user in the E-Prescribing system (if you're a non-prescriber and you need to be promoted to a Clinical user, please contact the Help Desk)
AWARDS and the E-Prescribing system use two different drug lists, which may provide different results. In the event that the medication is not found in the E-Prescribing system either, continue on with the second half of this frequently asked question, below...
When searching for the drug while in the AWARDS E-Prescribing system...
In addition to using the Drug Search in the AWARDS E-Prescribing system, prescribers can also use the Enter Free Text option to set the name and strength of the medication being prescribed. Click this option to create a prescription using free-text writing instead of the Drug Search. This functionality may be important for certain prescriptions such as chemical compounds that are mixed uniquely per patient requirements.
IMPORTANT! Some drug and allergy interactions may not be detected when using the Enter Free Text method.
What information must be entered for a client before medications can be E-Prescribed for him/her?
Aside from name, Social Security number, and date of birth (which are all required at the time a client's intake/admission is processed), there must also be the following entered for a client in AWARDS in order to E-Prescribe for him/her: street address, city, state, and zip code. If any of these pieces of information are not entered, anyone using AWARDS E-Prescribing functionality for the client will see an error message indicating which data is missing.
